We do not require customers to upload sensitive personal information unless it is genuinely necessary for their use of PillarWise. Customers should avoid including unnecessary sensitive or confidential personal information in uploaded documents.
3. How We Collect Information
We may collect information directly from you when you create an account, use PillarWise, upload documents, complete training or quizzes, use the AI Assistant, contact us or manage a subscription.
We may also receive personal information from a business or organisation that uses PillarWise. For example, a manager may provide an employee's name and email address in order to invite that employee to a workspace or assign training.
Some technical information may be collected automatically when you interact with the platform.
4. Employee Information
Businesses using PillarWise may provide personal information about their employees, contractors or other authorised users. This may include names, email addresses, training assignments, quiz results and training progress.
Businesses are responsible for ensuring that they are authorised to provide this information to PillarWise and for informing their personnel about their use of PillarWise where required.
PillarWise processes this information to provide the platform and related training functionality to the relevant workspace.
5. How We Use Information
We may use information to:
- Provide, operate and maintain PillarWise.
- Create and manage user accounts and workspaces.
- Invite and manage employees and authorised users.
- Create and deliver training modules and quizzes.
- Track training progress, completion and quiz results.
- Provide AI-powered staff assistance.
- Process and manage subscriptions and payments.
- Provide customer and technical support.
- Maintain the security and integrity of the platform.
- Diagnose errors and improve PillarWise.
- Comply with applicable legal obligations.

6. AI Processing
PillarWise uses artificial intelligence to provide features such as training generation, quiz generation and staff assistance.
When these features are used, relevant portions of uploaded documents, questions or other content may be processed by third-party AI service providers for the purpose of generating the requested output.
Customers should not submit personal, sensitive, confidential or legally restricted information to AI features unless they are authorised to do so and the information is necessary for their use of the service.
AI-generated content may contain errors or inaccuracies and should be reviewed appropriately before being relied upon.
7. Service Providers and Disclosure
We do not sell your personal information.
We may disclose or make information available to service providers that assist us in operating PillarWise, including providers of:
- Cloud hosting and application infrastructure.
- Database, storage and authentication services.
- Artificial intelligence services.
- Payment processing and subscription management.

PillarWise currently relies on third-party technology providers including Supabase, Vercel, Stripe and OpenAI for aspects of its infrastructure and functionality.

8. Overseas Processing
Some of the service providers used to operate PillarWise are global companies and may process or store information using infrastructure located outside Australia.
The locations in which information is processed may vary depending on the service provider, its infrastructure and the services being used.
9. Payments
Subscription payments are processed through third-party payment providers such as Stripe. PillarWise does not need to directly store complete payment card details in order to process standard subscription payments.
Payment providers process payment information in accordance with their own privacy policies and security practices.
10. Data Security
We take reasonable technical and organisational measures designed to protect information against unauthorised access, loss, misuse, interference, alteration or disclosure.
However, no internet-based service or method of electronic storage can guarantee absolute security.
11. Data Retention
We retain information for as long as reasonably necessary to provide PillarWise, maintain accounts and subscriptions, meet legal and accounting obligations, resolve disputes, prevent fraud or abuse, and maintain platform security.
When information is no longer reasonably required, we may delete, de-identify or securely dispose of it, subject to applicable legal, technical and operational requirements.
